Participation by the District Deputy in the suspension process is necessary to monitor that it is done properly. Form 1845, Notice of Intent to Suspend must be completed by the Financial Secretary and include signatures of the Grand Knight and Financial Secretary.

In addition, Form 1845A (Rev May 05), a.k.a., "The Conservation Form" must be filled out by the council retention committee. The District Deputy must verify that this form is completed in its entirety and all the information on each member is legible. The comments and remarks portion must be completed with an explanation of the contact attempts. If unable to contact, record the attempts made, i.e., phone numbers called, and/or address and phone number search, lives out of state, etc.

Form's 1845 and TX1845A must be sent to the State Retention Chairman with a copy to the State Deputy and the District Deputy. Form 1845 submitted without the TX1845A attached will not be processed. Withdrawals or questions pertaining to the Catholic Faith of a member shall not be included on the Conservation Form. If there is a question about the Catholic Faith of a member, then the Chaplain or Pastor must be consulted prior to any action being taken.

Retention Committee has made every effort in finding these members

If any of the above rules are not followed the District Deputy must stop the process and make corrections.

Verify that these members are not out of work or in distress

Members at the Honorary and/or Life Member age and tenure should not be suspended until the council applies for their respective membership card, possibly saving them.

Withdrawal or question on the Catholic Faith of a member shall not be included on the form
